How to use CompanyReceipts: the complete receipt & expense guide
CompanyReceipts is a receipt scanner and expense tracker for iPhone and the web. This guide walks through every feature — scanning receipts, tracking business expenses, exporting to QuickBooks and Xero, logging mileage, backing up to Google Drive, syncing to the web dashboard, and running team expense approvals — and shows which plan unlocks each one.
1. Getting started — free in two minutes
Download CompanyReceipts from the App Store and open it on your iPhone. You can start scanning receipts immediately on the Free plan, which includes 30 receipt scans every month, on-device scanning and auto-fill, categories and search, CSV export, and one workspace — no credit card required. Create a free account when you're ready to sync to the web or join a team.
2. Scanning your first receipt
Tap Scan and point your camera at any receipt — paper, an emailed receipt, or a PDF. The app's on-device AI reads the vendor, date, subtotal, tax, total, payment method, and a suggested category in about a second. Because scanning runs on your device, it's fast, works offline, and keeps your data private.
- Paper receipts: hold steady — edges and totals are detected automatically.
- Email & PDF receipts: import from your photo library or files.
- Multi-page receipts: add extra pages to a single receipt record.
- Voice note: attach a quick spoken memo for context.
3. Reviewing & correcting the details
After a scan you'll see every extracted field. Anything the AI was unsure about is flagged so you can fix it in a tap. Adjust the vendor, amount, tax, date, or category, add notes, and mark a receipt as tax-deductible. CompanyReceipts also detects likely duplicate receipts so you don't log the same expense twice.
4. Categories, search & keeping businesses separate
Every receipt is organized by date, vendor, and category and is fully searchable — find that one from last March in seconds. On Pro you can add custom categories and tag receipts to multiple businesses, so a side hustle, rental, or several companies stay cleanly separated. The Free plan includes one workspace and the built-in categories.
5. Mileage tracking
Pro and Cloud include a mileage log for recording business trips. Your mileage is included alongside receipts in your tax packet, so vehicle deductions are captured in the same place as everything else.
6. Batch scan a stack of receipts
Have a pile to clear? Batch scan (Pro) captures a stack in one pass — each page becomes its own receipt, read and marked for review, so you can assign categories and businesses afterward in the Receipts tab.
7. Exports & tax time — PDF, QuickBooks, Xero, CSV
When it's time to file, export in one tap: a clean, category-organized PDF expense packet, a QuickBooks Online or Xero CSV, a tax-deduction report, and a mileage summary. You can email the whole packet straight to your bookkeeper or accountant. CSV export is available on every plan; PDF, accounting, and tax reports are Pro and Cloud features.
8. Automatic backups to your cloud drive
On Pro and Cloud, CompanyReceipts can automatically file a copy of every receipt — image, PDF, and data — into your own Google Drive, Dropbox, OneDrive, or Box, organized by company, year, and month. It can also auto-email each receipt to a fixed recipient. You stay in control of your own storage.
9. The Cloud plan — web dashboard, sync & email-in
Upgrade to Cloud for an online CompanyReceipts account. You get a full web dashboard to review, search, and export from any browser, sync across all your devices, and email-in capture — forward a receipt to your personal capture address and it's added automatically. Start on your phone, finish on the web.
10. Teams — roles & expense approvals
Cloud includes team access with an expense-approval workflow. An organization admin invites members and assigns roles: members see their own receipts, managers see their company's, approvers review and approve or decline submissions, and admins see everything. Approvals are tracked with a full audit log, and no one can approve their own expense.
11. Connect your bank or card (Plaid)
Connect a bank or card through Plaid to match receipts against transactions and spot the ones still missing a receipt. The connection is read-only and you can disconnect at any time.

- Cloud — $7.99/month (or $79.99/year). Everything in Pro plus an online account, web dashboard, cross-device sync, email-in capture, and team access with approvals.

13. Managing your subscription & redeeming a code
Manage or cancel your plan in Settings → your Apple ID → Subscriptions. Have a promo or corporate discount code? Open the app's upgrade screen and tap “Have a code? Redeem it.” Each license is tied to one account — paid features on iPhone are tied to the purchasing Apple ID and logins are protected against sharing, so add teammates with the Cloud plan or a discount code rather than sharing a password.
14. Privacy & security
Receipt scanning runs on your device, and every receipt is locked to your account alone. On the Cloud plan your data is encrypted and isolated per account with row-level security. Read the full Privacy Policy and Terms of Service.
